Privacy Policy

Effective date: August 28, 2026
ClaimProof is designed to help roofing professionals organize property, claim, inspection, weather, code, and related documentation. This Privacy Policy explains the types of information we may collect, how that information may be used, and the choices available to users.

1. Information We Collect

Account and Company Information

When you create or use a ClaimProof account, we may collect information such as your name, email address, phone number, company name, organization information, user role, login information, and account preferences.

ClaimProof may store transaction records such as the package purchased, payment amount, credits purchased, payment status, payment method category, transaction identifiers, and purchase date. ClaimProof does not intentionally store complete payment-card numbers or account credentials used to complete a payment.

Technical and Usage Information

We may collect technical information such as device type, browser type, operating system, IP address, access times, error logs, page activity, and other information used to operate, secure, maintain, and improve the service.

3. Automated and AI-Assisted Processing

ClaimProof may use automated systems and artificial intelligence technologies to analyze documents, photographs, property details, weather information, claim information, and other uploaded or entered data. These tools may assist with classification, summarization, extraction, organization, report preparation, and related workflows.

Automated output may contain errors or omissions. Users remain responsible for reviewing reports and confirming the accuracy and appropriateness of information before relying on or sharing it.

4. Payment Processing

Payments for ClaimProof report credits may be processed by third-party payment providers such as PayPal and payment methods made available through PayPal, including eligible PayPal, Venmo, Pay Later, debit, or credit-card options.

Payment providers process payment credentials under their own privacy practices and terms. ClaimProof may receive transaction information needed to confirm payment, add report credits, prevent duplicate crediting, provide receipts, and maintain billing history.

5. Third-Party Services

ClaimProof may rely on third-party technology and service providers to support features such as authentication, database hosting, file storage, payment processing, mapping, property lookup, weather data, code data, analytics, communications, document processing, and artificial intelligence.

Information may be transmitted to these providers only as reasonably necessary to provide the applicable service or feature. Third-party providers are governed by their own privacy policies, terms, and security practices.

6. How We Share Information

We do not sell personal information as part of ClaimProof's ordinary business operations. We may share information in the following circumstances:

  • With service providers that help operate ClaimProof.
  • With members of the same authorized ClaimProof organization.
  • When a user intentionally generates, downloads, or shares a report.
  • When required by law, legal process, or governmental request.
  • When reasonably necessary to protect ClaimProof, our users, or others.
  • In connection with a merger, financing, acquisition, sale, or reorganization of the business.

7. Data Security

We use administrative, technical, and organizational safeguards intended to protect information against unauthorized access, loss, misuse, alteration, or disclosure. No online system can be guaranteed to be completely secure.

Users are responsible for protecting their login credentials and for promptly notifying ClaimProof if they suspect unauthorized access to their account.

8. Data Retention

We may retain account, billing, report, claim, uploaded-file, usage, and support information for as long as reasonably necessary to provide the service, maintain business and transaction records, comply with legal obligations, resolve disputes, prevent fraud, and enforce agreements.

Retention periods may vary depending on the type of information and the reason it is maintained.

9. Your Choices and Requests

Depending on your account and applicable law, you may be able to request access to, correction of, or deletion of certain personal information associated with your ClaimProof account.

Some information may need to be retained for legal, security, accounting, fraud-prevention, or legitimate business reasons even after an account is closed.

Privacy-related requests may be submitted through our Contact Us page.

10. Organization Accounts

ClaimProof accounts may be associated with a roofing company or other organization. Authorized administrators of an organization may be able to add or remove users, manage permissions, view company billing information, and access information associated with that organization's ClaimProof workspace.

11. Children's Privacy

ClaimProof is intended for business and professional use and is not directed to children under 13. We do not knowingly seek to collect personal information directly from children under 13 through the service.

12. Insurance and Professional Information

ClaimProof is a documentation and information-support platform. ClaimProof is not an insurance carrier, adjuster, law firm, public adjuster, engineering firm, or governmental authority unless explicitly stated otherwise in connection with a specific service.

Reports and automated analysis do not guarantee insurance coverage, claim approval, payment, code interpretation, or any particular outcome. Users are responsible for reviewing information and determining how it should be used.
